Q. What is Schoolesolutions & how does it work ?
A. Schoolesolutions is an online cloud based E-services solution in the form of mobile App & Web portal designed for schools only. It gives freedom to the school owner/administrator to manage all communications with the Parents / Teacher / Staff & also manage all the FEES work of the students through mobile.
Q. Why it is different from other free Apps existing in the Google Play Store ?
A. Unlike other Apps which provide communication from School to Parents only when Parent has a smartphone with active internet data pack, our App provides communication to Parents in both the form of text SMS & multimedia.
Q. Is it also available for Parents / Students ?
A. No, It is only meant for School owners / Managers / Principal / Teachers. For Parents there is separate App (Cico App) available free at playstore.
Q. Is it free. ?
A. Yes, It is free for downloading but to make it active school needs to pay.
Q. Will the messages will go to the Parent through a mobile Number ?
A. No, All messages will go through a six alphabet sender id (Ex: DPSDLI ) which will be made available as per choice of the school.
Q,. How to start using Schoolesolutions mobile App. ?
A. Download the Android App from the Google play store & Register.
Q. After successful Registration, what should I do to start?
A. After Registration, user needs to Add Class & Students through MANAGE RECORDS option in the Menu.
Q. I have successfully created class now how can I Add students?
A. In the MANAGE RECORDS page, use option of ADD NEW RECORD to add new students.
Q. How to make entry of large data of students through the APP?
A. Through App, only 1 student can be added at a time. To Add large data, web portal www.schoolesolutions.in should be used. An import option is available under Manage Students menu. Alternatively, data in Excel format can be send to firstname.lastname@example.org for making entry.
Q. Once a number is added through App, Should I need to send a test message to that number.
A. NO… The system will automatically send a confirmation message to that mobile number instantly.
Q. I wish to change the mobile number of a student. How?
A. You can change a number through MANAGE RECORDS option, Search the student and Edit the details. Here also if number is changed, the system will send an automatic message to the mobile number instantly.
Q. Can I add two numbers of the Parent?
A. Yes!! You can add two numbers of a Parent through Advance option.
Q. How to send SMS to the Parents once data is saved?
A. Use SEND GENERAL MESSAGE option. Here user can send SMS to all classes or few classes or few students in a class.
Q. How to send big SMS or SMS in any other language then English?
A. SMS has limitation of 160 characters & can be send in English font only. To overcome this issue, we have developed Cico App for Parents. Now Schools can send any message in any language of any size to Parents who have installed Cico App at their Smartphone.
Q. I wish to send messages only to Teachers. How?
A. Sending SMS to only Teachers is very easy. A class with the name TEACHERS can be created & all the Teachers should be added in the class. Use SEND GENERAL MESSAGE option, Select class “Teacher” and then select “Dear Teacher” instead of “Dear Parents”. Type the message & send. SMS will go like this: Dear Teacher, Kindly note, Reporting time is 9am. Regards, Principal
Q. How to send multimedia messages to Parents ?
A. At the main menu, option is given to send Video / Photo / Audio & rich text messages in any language. (This message will only go to those Parents who have installed Cico App in their smartphone).
Q. How to delete a student detail from the records?
A. A student cannot be deleted from the system. However an old student can be replaced with a new one through Edit option.
Q. I wish that my Teachers can also send messages to the Parents of their class only.
A. Go to the web portal www.schoolesolutions.in & login with your ID/Password. In the Manage Teachers & Staff you can create a Teacher login and assign class to them. Now Teachers can login with this ID & can send SMS, Photo, Video, rich text message to the parents of the students of their class only.
Q. School teacher wish to send homework to Parents. How?
A. Their is a send homework option given at the main menu of the App. Teacher can send any homework by typing the subject and the homework content using this option.
Q. Can I get reports of SMS being sent?
A. Yes. You have to go to the Feedback option & submit your request for the same. Report will be send to the registered mail ID within 24 hours.
Q. Can I download the detail of the total number of students enrolled in our system?
A. Yes. You can download the details in excel format through our portal www.schoolesolutions.in. Go to the Manage Students – Export Student.
Q. I wish to send Birthday greeting message to my students. Is it possible?
A. Yes. If you feed the date of birth of the student the system will automatically send a Birthday message to the student on his Birth Day and this message will have student name also.
Q. What is the use of Feedback option?
A. Feedback option is used to send any suggestion, Complaints, Query or Request to us. It has also attachment option through which any document or photo can be send.
Q. How to use MARK ATTENDANCE feature?
A. MARK ATTENDANCE is used when you wish to send SMS to the Parents informing that their child is absent from school today. Just select the class & select the absent students. Rest the System will do. The SMS that will go will have student name also. You can change the language of the SMS by sending a request through Feedback option.
Q. I wish to send FEES reminder SMS to Parents. How?
A. Use the feature of FEES DUE NOTIFICATION. Select the class & then select the defaulter students. That’s all !! System will send the SMS containing the name of the student in the message. If you wish to change the language of this SMS, send a request through Feedback option.
Q. What is the use of Group?
A. Group feature is used to accumulate some students of different classes at one place for a common purpose. Ex. School Bus carrying students from different classes or Group of students of different classes going on a tour. Now it will be easy to send SMS to a Group instead of searching various classes.
Q, How to create Groups?
A. In the MANAGE RECORDS section, Add/Edit Group option is available. Groups can be created and students from different classes can be assigned to each Group.
Q. What is MANAGE FEES feature?
A. MANAGE FEES is a very easy & smart way to manage entire student Fees system. School can very easily record each Fees collection and issue E-Receipts to the Parents.
Q. Do I need computer to use FEES Management feature?
A. No, Our all the features are both available at Web portal as well as Mobile App. User can simply login with the same ID / Password and do the FEES work from any mode (Computer or Mobile)
Q. I wish that my Accounts or office clerk can only access FEES feature and not the SMS feature. Is it possible?
A. Yes. At the time of creating Teacher / staff Login, there is option to assign class for SMS work. Simply do not assign any class. When user will login, he will not see any class hence he cannot send any SMS.
Q. Since Fees Feature is very confidential and involves money also, can I restrict Teachers to access Fees feature with their login?
A. Yes. At the Manage Teacher page on web portal, there is option to allow Fees access to a Teacher. Simply make it No.
Q. What is the cost of Fees Management Application?
A. There is no extra cost for Fees Management Application.
Q. How to start Fees Management Application?
A. In the MANAGE FEES menu, Go to the FEES MASTER option & create various Fees Heads like Tuition Fees, Admission Fees, Conveyance etc.
Q, What is the use of Monthly, Yearly or One Time option while creating Fees Heads.
A. Fees Heads can be of Monthly, Yearly or One time nature. Tuition Fees Is a monthly item, while Admission Fees is one Time and Library Fees is a Yearly item.
Q. What is the use of Assign Amount when we are creating FEES HEADS?
A. Assign amount is an optional feature to mark an amount for a particular Fees head. It becomes the default amount for all the classes. User can change the amount of each class if he requires.
Q. I wish to assign different amount for different classes for a Fees Head. How can I do so?
A. Click the Fees Head Edit/Assign button and then Assign Class. The screen will show all the classes with amount below. Change the respective amount as per requirement.
Q. Some Fees heads are not related to some classes. Ex Lab fees is not applicable for Nursery/KG class. How can I un-assign them.
A. Click the Fees Head Edit/Assign button and then Assign Class. De-select the ones which are not required.
Q. How can we issue Fee Receipts to Parents?
A. Go to the COLLECT FEES option, Search student and select appropriate Fees Heads. Select the months. The final Receipt will show up having all the details and calculations done. Just press submit. It will show the option to send Fee Receipt SMS to Parents. At the web portal option of printing is also available.
Q. I wish to print Fee Receipts with my school Logo ?
A. School Logo can be inserted through web portal at My profile Page. The print command will be available once Fee Voucher is successfully submitted. The print will have two copies – one for the Parent & other for the school records.
Q. How to know which months of fees has been already paid by the student at the time of Fees collection.
A. After searching student for Fees payment, his detail & all the Fees Heads which are assigned to this class shows up. Under each Fees head if any previous months fees is already paid, name of months will appear there. If any yearly fees head is previously paid, it will show Paid there.
Q. Will our system allow Balance in the Final Receipt?
A. Yes. At the final Receipt screen, there is a column of Amount Received. If Parent is paying less amount, then show that amount in the amount received column. It will automatically subtract from the actual amount and place the remaining amount in the Balance account of the Parent.
Q. If the same Parent comes again & wishes to pay only the Balance amount?
A. Search the student in COLLECT FEES option & simply move to the final voucher screen without selecting any FEES HEAD. Now only Balance amount will show there.
Q. How to check Fees records?
A. Fees records can be checked through Fees Reports option. Various types of search criteria have been given which can be used as per requirement.
Q. Can I access Fees collection reports from my mobile, sitting away from school anytime?
A. Yes. Very easily. You can find all the data of Fees collections & Fees Dues from your mobile sitting any where any time through FEES REPORTS option.
Q. I wish to download all the Fees Reports on to my computer. How?
A. Download option is available at the Web portal www.schoolesolutions.in
Q. Some Fees Heads like conveyance are applicable to only few students in the class. How to manage this situation?
A. There is an option to make a Fees Head deactivate for a particular student at the time of issuing Fee Receipts. A small tick mark is given just below every Fees head. Clicking it will make that Fees head deactivate for that particular student.
Q. Can I delete or Edit any Fees Receipt already issued?
A. Yes.. But only the last Fee Receipt can be deleted or Edited through Reports section. This can be done only by the main authority of the school.
Q. Can school record the expenditure like Salary, Electricity, etc ?
A. Yes ! Through web portal (www.schoolesolutions.in) school can record the expenditures & take printout of the same also.
